Meeting minutes guide
This free meeting minutes tracker is designed for project meetings, team check-ins, client calls and governance forums where notes need to become action items. It keeps attendees, agenda, discussion notes and ownership in one simple browser workspace.
Capture the meeting date, title, attendees, agenda, key discussion notes, decisions and action items with owner, due date and status.
Use one action per line with description, owner, due date and status. A consistent structure makes export and follow-up much easier.
Use it for weekly project actions, client meeting notes, internal governance logs, team admin meetings and handover follow-ups.
Write decisions separately from general discussion notes. A decision entry should capture what was agreed and why, which is useful context if the decision is revisited later.
Setting the agenda before the meeting helps keep notes focused. Recording attendees means action owners can be identified and followed up after the meeting.
Export CSV after every meeting to create a working action log. This can be shared with attendees, imported into the task tracker, or kept as a monthly governance record.

Yes. The tool is designed to capture both meeting notes and structured action items with owner, date and status.
Export CSV when you need a follow-up action log, archive, or input for another tracker.
Write decisions as distinct entries in the Notes field or as separate agenda items. Capture what was agreed and the reason if it adds useful context for later review.
Yes. Export the actions as CSV and import them into the TemplatePilot task tracker to convert meeting follow-ups into a live project board.
Minutes become much more useful when they separate discussion from decisions and actions. Avoid writing a transcript unless one is required. Capture the decision, the reason if useful, the owner, the due date and the status. If an action has no owner or due date, it is usually not ready to leave the meeting.
After the meeting, send actions quickly while context is still fresh. Review open actions at the start of the next meeting so the minutes become a working management tool, not just a record.
